TERMS OF SERVICE
Booking in advance is strongly recommended to ensure that your rental equipment is ready for you upon arrival. Bookings can be done either online or via email. Once you booked, you will receive a tentative confirmation of your booking (this is NOT "Booking Confirmation") as well as payment information. Bookings are only guaranteed once a payment has been processed and you have received your official "Booking Confirmation" from us by email.
Payment is required at the time of the booking. The easiest way to make a payment is by credit card. We use Square Payment system, thus you will receive an email with payment information through their system, not from us. Square accepts most credit cards, and is a secured service. You can read their security information here. You are required the card holder’s name, a valid credit card number, the expiry date, and the 3 digits on the back of the card. Payments can also be made by debit card or cash when you book and pay in person at our store.
3. CHANGES AND CANCELLATION POLICY
Your satisfaction is of the utmost importance to us. The day you book your order the items are considered out of our inventory for your date and time, thus made unavailable to other potential customers. This ensures you will have all the items you need on the date you require them. Because of this, we do have certain policies regarding changes to your order.
If a cancellation occurs within 1 week of the rental date, or in case of no show, you will be charged at full rental rates plus taxes. If a cancellation or reduction occurs within 14 days, a 50% cancellation & change fee applies. This will be 50% of your original booking total. Outside of that time period cancellations are given a full refund. You can change your booking if equipments are still available any time prior to 48 hours before your rental.
4. RENTAL PERIOD
Rentals are per calendar day. Not 24-hour period, or per night.
5. PICKING UP AND RETURNING YOUR RENTAL EQUIPMENT
You can pick up your rental equipment at the time you chose on the first day of your rental and may return no later than closing time on the last day of your rental. Either you or someone else can pick up your order. If another person will be picking up, they will need to know what name your order is booked under and they will need to sign Release Agreement and *Damage Waiver (*please refer to section 7.). If you require your rental items to be picked up or returned outside of our business hours, please contact us. Photo identification is required on all rentals, and out of country renters must present a passport. You must be 18+ years old to rent from THE BASE Outdoor Rentals.
All tent rental returns will require an additional 24 hours to process to ensure that the tent has been properly setup and tested and is still in the condition that it was rented. All other rentals will be THE BASE Outdoor Rentals' responsibility once they are returned to the store and the drop off process has completed.
Please double check your rental equipment before heading on your adventure.
We do our best to make sure your rental equipment is in top shape at the time of your rental. If you discover any missing or damaged items upon receipt, please contact us immediately so that we can make a note on your account and make arrangements to replace the items if desired. If it is after store hours, please leave a message or email us. We will contact you as soon as possible.
6. MISSING AND DAMAGED ITEMS
If you do have missing or damaged items upon return, you will be informed as soon as possible. If the missing items cannot be found or if we are unable to contact you or the person responsible within 48 hours of your specified return date, replacement fees will be automatically charged to the credit card on file. If any items can be located and returned within one week of your specified return date, we will refund the full amount. No refund after one week. Repair fees for damaged items must be paid upon receipt of an invoice. Any items considered un-rentable by THE BASE Outdoor Rentals standards will be charged at full replacement value. The customer is responsible for the goods from the time of pick-up/delivery until the items are returned to THE BASE Outdoor Rentals. We do charge for; broken, damaged or missing items. If rental equipment is returned in damaged condition, the renter will be responsible for repair costs. Shop rate of $30 CAD/hr will be charged, plus any parts and materials for cleaning or repair. Replacement cost for lost, theft or destroyed rental equipment is full retail value. Please remember to never leave your rental equipment unattended.
7. DAMAGE WAIVER
You (the customer) are responsible for returning rental items in the same condition in which they were received, except for ordinary wear and tear. You are liable for the replacement cost of damaged or lost items. A Damage Waiver is available to protect you from damage due to accidental breakage. No loss of any type will be covered.
The Damage Waiver is an additional fee of $3 CAD per day. The Damage Waiver is optional, and you may decline it by placing a check next to the decline the Damage Waiver line at the bottom of the contract. If waiver is declined, you are responsible for all charges relating to loss or damage to rental items under any circumstance. The Damage Waiver will automatically cover full rental period of your booking if you choose this option. You will be required to sign the Damage Waiver in person when picking up the equipment at our store. You can pay this fee at the time of your payment, or you can add this option prior to your pick up. You must opt for the Damage Waiver prior to receiving the Equipment. The Damage Waiver is not a refundable item.
If waiver is accepted:
You are eligible for coverage of the first $100.00 CAD of replacement value. Any damage over $100.00 CAD will be charged at full replacement costs.
What The Damage Waiver IS:
• Waives you of liability for rented items that are returned damaged due to an accident. You must return all broken or damaged items and other such evidence that we may reasonably require.
• Must be accepted prior to your taking possession of the rented items.
• Is secondary to your own insurance. Some homeowner and business insurance may cover you for damage to rented items in the event of a sizable claim. If waiver is declined, you must add us to your insurance for the duration of the period in which rental items are in your possession.
What The Damage Waiver is NOT:
• Coverage for damage due to neglect, abuse or misuse. If deemed necessary by the rental company, you agree to furnish a police report upon their request.
• Coverage for loss or theft.
Specific circumstances NOT covered by The Damage Waiver:
• Any type of loss of rented items or accessory equipment.
• Overloading or exceeding the rated capacity of equipment.
• Use of electrical current provided by other than an electric utility.
• Operation/use of equipment in a manner different from its intended purpose, or damage resulting from neglect and/or abuse
• Tampering with gas or electric appliances.
8. UNUSED EQUIPMENT
Rental items are charged for time out, not for use. Every item that leaves THE BASE Outdoor Rentals is treated the same way upon return, used or not. This ensures that every item you receive is clean, sanitized, and food safe. No refunds are given for items that were not used during your rental.
Your equipment must be returned to us dry, free of mud and heavy dirt. If not, a cleaning charge of $30 CAD for the equipment will be applied.
10. LATE RETURNS
Late returns will be charged a full day rate for each day for all bookings. If you are not able to return your rentals on time, please inform us so that we are able to make a note on your account and we are quite reasonable if there are extenuating circumstances. If we require the items for another order, we will make arrangements to pick the items up ourselves.
